Terms and Conditions
Booking Mindenwood Floral Design
Once issued with your quote, the date of the event will be held for fourteen days. After this, the date may be made available to other interested parties. To secure the date with Mindenwood Floral Design a booking fee is always required. The fee will be deducted from the final payment total.
Quotations
Quotations are based on market prices at the time of writing with consideration given to the season and demand for specific
varieties at the time of the proposed event. We do not guarantee specific stems types. Very occasionally these may be subject to an upward adjustment particularly when booking more than six months ahead of an event. Every effort is made to keep costs as close to the original quotation as possible and notice of any price increments will be made before the final invoice is issued. All flowers are subject to availability and Mindenwood Floral Design reserves the right to substitute proposed flowers with similar varieties if absolutely necessary, such as if the flowers are unavailable or are of a substandard quality.
Adjustments to flower proposal
Following booking, any downward adjustments which result in more than a 20% reduction of the overall proposal when booking Mindenwood Floral Design, will be subject to the booking fee not being refunded. As a small company, we usually book just one wedding on any given day and significant downward adjustments can have a huge impact on our small business, particularly if we have declined other work and booked additional staff based on the proposed schedule, which has been agreed by you and ourselves.
Any changes to the original order must be made in writing no later than 28 days before the wedding. Should increases in flowers be required, an additional cost will be incurred.
Payment
A hold the date fee of £200 is required to book Mindenwood Floral Design - by paying this you agree to the booking terms and conditions set out above. The fee will be deducted from the final payment. Final payment is to be made in full a minimum of 6 weeks before the event and can be made by BACS transfer— Sort code 40-47-75 Account number 44656210 or PayPal http://paypal.me/mindenwoodfloral
Please note that if full payment is not received within 14 days of the wedding, flowers will not be ordered.
Cancellation
Cancellation must be notified as soon as reasonably possible. Any hold the date fee will be retained regardless of the circumstances.
If the wedding is cancelled within 14 days of the planned date, 50% of the total fee is required.
If the wedding is cancelled within 7 days of the planned date, the total fee is required.
Floral arrangements and staging
Flowers will be arranged and staged by Mindenwood Floral Design unless otherwise specified. Props if needed (e.g. candelabra, tea light votives, mirror discs, topiary trees, and vases) will be collected the day after the event or on a date agreed by the venue and Mindenwood Floral Design. Unless otherwise agreed in writing, all props are on loan and remain the property of Mindenwood Floral Design; any loss, theft, damage or breakages must be paid for by you, the client.
Delivery
Delivery will be made to the agreed addresses and at agreed times. A signature will be required on receipt of delivery. Please ensure your delivery is correct before signing. Any mistakes or queries must be raised within 30 minutes of receiving your flowers.
Post delivery
Once delivered, the flowers no longer remain the responsibility or the property of Mindenwood Floral Design and you should make arrangements for their removal, unless otherwise agreed, a minimum charge of £50 will be deducted from the booking fee to cover clearance and disposal.
Complaints
Any complaints should be addressed within one day of delivery, with photographic evidence, to the contact details on page one of these Terms and Conditions.
Photographs
Mindenwood Floral Design reserve the right to take photographs of flowers and the setting prior to the event, which may be used for promotional purposes.
GDPR and Data Retention
This is intended to be compliant with EU GDPR legislation. We may collect information including but not limited to: details that you provide such as name, email address, address, questions and queries about your wedding and wedding venue. I may use your information to help us improve our products and services. I will not pass on your information to any third parties. I do not use cookies to collect or store your personal information. Mindenwood Floral Design is committed to keeping your information safe and secure.
By providing information to me you consent to your details being retained and used according to the terms of this policy. I will not retain your data for longer than is necessary. If you wish to request an amendment (including removal) to your information at any time you can do so by emailing hello@mindenwoodfloraldesign.co.uk
Force majeure
Mindenwood Floral Design can not be held responsible for any loss, damage or disruption outside of our control, eg fire, armed conflict, labour disputes, accidents, interruption to transportation or adverse weather.
Pandemic Terms
In the event of a pandemic, when a wedding has to be rescheduled, I will do my best to accommodate the new date with the existing budget within 12 months of the original date. Beyond this time, it will be necessary to requote prices for all flowers. In the event of being unable to accommodate the new date, I will refund 50% of the original booking fee.
General
By paying the hold the date fee you are proceeding with the booking, and you are entering into a contract, and therefore agree to these Terms and Conditions.
Terms and Conditions may be updated at any time. The customer will be notified of any major changes.
